This policy explains how TrainDoc AI handles your information and our rules regarding refunds.
1. Data Collection & Usage
We collect only the minimum personal data necessary to provide our services. In accordance with the Swiss Federal Act on Data Protection (nFADP), your information is processed only as needed to deliver the services you request. We never sell or share your data with third parties for marketing purposes.
We collect data in the following ways:
- For Courses: We collect your Username and Email Address to manage your account, track progress, and provide access to purchased materials.
- For Contact Forms: We collect your Email Address to respond to your inquiries and provide support.
- For Data Conversion Services: When using our secure upload form, we collect your First Name, Last Name, and Email Address to process your files and deliver the converted documents to the correct recipient.
This data is used strictly to manage your account, provide access to materials, and send important service updates.
2. Desktop Apps
Your privacy is our top priority. This section applies strictly to our Desktop Apps. Unlike our online services, we do not collect, store, or share any of your personal data through our software.
2.1 No Data Collection
- No Personal Information: The Desktop Apps do not require an account, name, email address, or any other personal identifiers.
- No File Tracking: We do not track what files you convert, how many files you convert, or the contents of those files.
2.2 100% Local & Offline Processing
- Local Processing: All conversions are performed entirely on your own computer’s hardware.
- No Cloud Uploads: Your PDF files are never uploaded to a server, the cloud, or any third-party service.
- Offline Functionality: The Desktop Apps do not require an internet connection to function and do not communicate with any external servers while in use.
2.3 Security
Because the Desktop Apps operate strictly on your local machine and have no internet communication capabilities, they are inherently protected from external data breaches. Your documents remain within your own secured environment at all times.
2.4 Data Storage and Deletion
- Input/Output: The Desktop Apps read the PDF you select and save the Markdown file to your local storage.
- No Persistence: We do not store copies of your files. Once the conversion is finished, the Desktop Apps have no memory of the data processed.
- Desktop App Deletion: To remove a Desktop App, simply delete the
.exefile. Deleting the Desktop App will not remove any Markdown files you have previously generated; those will remain in your Downloads folder until you manually delete them.
3. Data Conversion Services
For our manual data conversion services, we maintain a strict security protocol:
- Secure Upload: PDF files are uploaded through a secure form and are encrypted during transit.
- Delivery: Converted Markdown files are returned within 24 hours via a password-protected webpage.
- Data Retention: To ensure your privacy, all uploaded PDF files are permanently deleted immediately after the converted files are delivered to you.
4. Refund & Cancellation Policy
We want you to be happy with your purchase, but we have to protect our digital content.
4.1 General Refund Window
- 14-Day Window: For all purchases—including Desktop Apps, Code Snippets, and Courses—you have 14 days from the date of purchase to request a full refund.
4.2 Product-Specific Terms
- Desktop Apps & Code Snippets: You are eligible for a full refund within the 14-day window.
- Online Courses (The 60% Rule): If you have completed 40% or more of the course material within those two weeks, you are no longer eligible for a refund.
Note: Progress is tracked automatically via our learning platform. If you have accessed the majority of the content, the service is considered fully delivered.
4.3 Subscriptions
All subscriptions are billed monthly. You may cancel your subscription at any time via your Account Dashboard. Upon cancellation, you will continue to have full access to the course materials until the end of your current paid month.
5. Payment Security
We do not store your credit card information on our servers. All payments are handled by secure, third-party processors (like Stripe or PayPal). They provide us with confirmation of payment, but your financial details stay with them.
6. Cookies
We use basic, non-intrusive cookies and automated tools to prevent spam and keep our site secure. These do not track your personal browsing habits outside of our website; they are strictly used to ensure a safe experience for our students and customers.
7. Data Deletion
Your data belongs to you. If you want your account and information permanently deleted from our system, just send us an email at learn@traindocai.com and we will wipe it—no questions asked.
8. Protection of Minors
Our platform is specifically designed for adults and is not directed toward anyone under 18. We maintain a strict policy against intentionally gathering data from minors. In the event that we realize personal details from a child have been collected by mistake, we will act immediately to remove that information from our records.
